Explanation ASM Registration Rates (1080 x 1920 px).png

USASP works to keep the annual meeting affordable while offering great science, networking, and career development. The goal is to break even, not make a profit. We don't have large exhibits, and we plan carefully to keep costs reasonable.

When we hold the meeting, we sign a contract with the hotel that includes costs for guest rooms and food. The hotel provides the meeting space at no extra cost if we meet these minimums.

Because we don't know exactly how many people will attend until we are days out from the meeting, we have to make our best estimate months in advance. We base our budget and registration fees on past meetings and current events that might affect attendance, while setting prices that cover us if fewer people come than expected.

Registration Fees:

We try to keep fees as low as possible, especially for trainees. Fees cover meals, audio/visual setup, poster boards, and speaker travel. Meals at the hotel cost more but help everyone stay together for networking and discussions, which is valuable for all.

Lodging:

We also contract with the hotel for attendees to book a certain number of rooms (for example, 170 rooms per night). If we don't meet that number, USASP has to pay for the unused rooms. Room rates are negotiated to be lower than market rates and booking at the meeting hotel helps support USASP and future meetings.

The Bottom Line:

Our rates are estimated based on what we expect for USASP to break even from the Annual Scientific Meeting. Please book your room at the Loews Philadelphia Hotel to best support USASP.

How does USASP decide the cost of the Annual Scientific Meeting?
